Sending surveys via Text is a fast and effective way to collect responses. Follow these steps to set up and send your surveys seamlessly.
Step 1: Confirm Your Text Provider and Credit Balance
- Choose your provider - Use the default Text provider or set up a custom provider if you prefer.
- If you're using our default provider, Twilio, ensure you have sufficient text credits for your survey.
- You'll need these credits for both initial survey messages and any reminders. Customers using custom providers are not charged for text credits through our system.
- If you’re running low on credits, feel free to contact our sales team to purchase more credits.
Pro Tip: Running out of credits? You can switch to email delivery while you top up.
Step 2: Configure survey notifications
- Navigate to survey settings:
- Open the Survey Settings section.
- Locate the Survey Notifications option.
- Enable Notifications: Choose Email, Text, or Both
You can send notifications using either Email or Text Messages (Text), or both, depending on your audience. While both options are enabled by default, you can customize this based on your needs:
Text Messages: Ideal for reaching blue-collar workers or employees who may not frequently access email. Texts are immediate and more likely to grab attention quickly.
Email Notifications: Suitable for employees with regular access to their inbox, allowing for more detailed communication and follow-up.
Step 3: Craft your text template
- Keep it short and clear:
- Text messages have a 120-character limit, so keep your message concise.
- Use variables: Personalize your message by including variables like:
- Survey Name (e.g., "Job Satisfaction Survey")
- Survey URL (a clickable link to the survey)
Note: Credit consumption may increase if the message length exceeds the standard limit. To optimize usage, avoid including too many variables in your message. If you're using the survey name, try to keep it short and concise.
Step 4: Launch the survey
- Go to the Distribution page: This is where you’ll manage survey recipients.
- Add Participants: Upload or add participant details, ensuring their phone numbers are included.
- Verify details: Double-check that all recipients have valid phone numbers or email addresses. Missing details will prevent the delivery of invites.
4. Once everything is updated and once you’ve enough credits, click on “Launch”
Additional Tips:
- Estimate credits before launch:
- You’ll see a preview of how many Text credits are needed based on:
- The number of participants.
- The number of reminder messages scheduled.
- Example: If you have 100 participants and plan to send 2 reminders, you’ll probably need 300 credits (100 × 3 messages).
- You’ll see a preview of how many Text credits are needed based on:
Note: The actual credits consumed may differ based on the country from which the message is being sent and received.
- Insufficient credits warning:
- If you’re running low on credits, you’ll see a warning displayed in red.
- Options:
- Recharge your credits.
- Opt for email-only delivery.
Note: You can’t launch the survey via Text if your credits are insufficient.
Text notifications make engagement accessible for everyone, especially blue-collar workers who may not have email IDs. They break down communication barriers, ensuring you can reach employees across all tiers of your business without hurdles.
