Sending a survey is just the beginning. To ensure high response rates, it’s important to manage delivery preferences and reminders effectively. Here’s how to stay on top of things before and after launching your survey.
Checklist before launching
1.Choose your mode of survey delivery:
- Choose how you’ll remind your participants:
- Text
- Email & Text
For Email & Text:
When Optimize is ON: Emails are sent to everyone first. If someone doesn’t have an email address in the dataset, the message is automatically sent via Text instead, if they have a phone number. This ensures no one is left out and helps you conserve text credits efficiently.
When Optimize is OFF: Both emails and texts are sent to all recipients, provided you have enough text credits. This option is ideal if you want to maximize response rates by ensuring messages reach employees through both channels simultaneously.
Note:
- Anonymity settings cannot be changed once the survey is launched.
- Reminder preferences (e.g., switching between Text and email) can still be adjusted for future reminders and invites, ensuring flexibility in your communication strategy.
2. Define survey cut-off dates:
- Set a clear deadline for participants to complete the survey. This keeps your timeline on track and helps manage follow-ups.
3. Set Anonymity preferences:
- Based on the current objective of the survey, decide if responses should be anonymous.
Important: Anonymity settings are locked once the survey is launched, so make this decision carefully.
After launch:
Review reminder settings:
- If you’ve enabled both Text and Email reminders, participants will receive reminders through both channels.
- For email-only reminders, Text will be excluded from delivery.
- Adjust delivery preferences:
- Visit the Configuration Page to update reminder settings as needed.
- Example: If Text credits are running low, switch to email-only reminders to avoid delivery disruptions.
Edge Case to Watch For:
Low Text Credits for Reminders:
- If your Text credits are insufficient, you’ll see a warning notification.
- Options to resolve this:
- Recharge your Text credits to resume Text reminders.
- Switch to email-only reminders to save costs.
